What happens after I schedule a discovery call?
On the discovery call, we learn about your business, your goals, your current accounting setup, and any pain points you have. We answer your questions and determine whether we're a good mutual fit. If we are, we'll gather information to prepare a personalized pricing proposal.
What should I prepare before my first call?
It helps to have on hand: your current accounting software (e.g., QuickBooks, Quicken, Freshbooks, Xero), your payroll provider name, your business entity type (LLC, S-Corp, C-Corp, etc.), estimated monthly transaction volume, and your primary financial goals. This allows us to recommend the right package and approach from the start.
How does Venti Accounting share documents and communicate securely?
We use a secure client portal powered by Financial Cents to exchange documents, receive financial information, and manage ongoing requests. Cybersecurity is a top priority, and we avoid unsecured channels like standard email for sensitive financial data.
Does Venti Accounting have a client portal?
Yes. All Venti Accounting clients have access to our secure online client portal. You can log in to submit documents, review your monthly financial statements, communicate with your accounting manager, and track open requests.
Monthly Bookkeeping
What's included in monthly bookkeeping at Venti Accounting?
Each month we reconcile all bank accounts, credit cards, and outstanding loans; categorize and record transactions; review your income statement for accuracy; and deliver a complete financial statement package including a Profit & Loss Statement, Balance Sheet, and General Ledger. The goal is to give you numbers you can trust to make better decisions.
When will I receive my monthly financial statements?
We guarantee delivery of your financial statements before the end of the following month. For example, January financials are completed and available to you before the end of February.
What do you need from me each month to do my bookkeeping?
During onboarding, we set up bank and credit card connections through your accounting software when possible. If online access isn't available, we'll need copies of all account statements. Occasionally, we'll ask clarifying questions about specific transactions via the client portal.
What accounting software does Venti Accounting use?
Venti Accounting uses QuickBooks as its primary accounting platform. All service packages include QuickBooks support.
Do you use cash basis or accrual basis accounting?
Our standard method is cash basis (tax basis) accounting, which records income and expenses when cash actually moves. We can also accommodate accrual basis reporting. We recommend aligning your books with your tax reporting method so your financial statements and tax returns always match, reducing audit risk and ensuring consistent reporting.
Can you work with my existing in-house bookkeeper?
Yes. Venti Accounting works alongside in-house or outsourced bookkeepers. Typically, your bookkeeper handles day-to-day tasks such as invoicing, bill pay, and payroll entry, while we manage reconciliations, financial statement preparation, tax strategy, and year-end filings.
Will my books match my tax return?
Yes. We prepare your books using the same accounting method as your tax returns, so your financials and IRS filings are always consistent. This alignment reduces the risk of an audit and makes tax preparation more accurate and predictable.
Tax Planning & Preparation
Does Venti Accounting offer tax planning or just tax preparation?
We offer both proactive tax planning and tax preparation. Rather than waiting until tax season, we meet with you in late summer or early fall to review your financials, project year-end income, and develop strategies to legally minimize your total tax liability. We then monitor your numbers through year-end.
How often do you do tax planning?
We perform annual tax planning meetings in the late summer or early fall. After producing your tax plan, we track your financials through the rest of the year and adjust projections as needed to keep your results within the expected range.
What does a tax planning meeting typically cover?
During your tax planning meeting, we review your current financials, project your year-end income, discuss any adjustments to make before December 31, and review your overall financial strategy. Topics may include entity structure, retirement contributions, equipment purchases, and estimated tax payments, all aimed at reducing your tax liability within legal guidelines.
Will Venti Accounting handle both my business and personal taxes?
Yes. We prepare both business entity returns and individual tax returns. We strongly recommend using the same accountant for both to maximize tax efficiency, coordinating the two returns enables strategies that reduce your overall combined tax burden.
What information does Venti Accounting need for tax work?
When onboarding, we request copies of your two most recent prior-year tax returns. From there, we curate a customized document checklist for your specific tax situation. For monthly bookkeeping clients, most tax data is already captured in your financials throughout the year.
How does Venti Accounting help reduce IRS audit risk?
We reduce audit and penalty risk by ensuring your books are accurate, tax-compliant, and reconciled monthly. By keeping your financial statements aligned with your tax returns, meeting all filing deadlines, and maintaining clear documentation, we minimize the discrepancies that commonly trigger IRS notices or audits.
Does Venti Accounting handle 1099 and W-2 filings?
Yes. 1099 filing is available as an add-on with any Venti Accounting package. W-2 preparation is included for payroll clients at year-end.
Payroll Processing
Does Venti Accounting offer payroll processing?
Yes. Payroll processing is included in the Essentials and Full Service packages. We manage payroll runs, wage calculations, tax withholding and remittance, and federal and state compliance reporting. Having payroll in-house allows us to quickly resolve any payroll issues that affect your accounting or taxes.
What does payroll processing include?
Payroll services include payroll runs, wage and hour calculations, payroll tax collection and remittance, federal and state compliance and reporting, and dedicated support for any processing questions. Year-end W-2 preparation is also included.
Is payroll integrated with monthly bookkeeping?
Yes. Payroll is designed to integrate seamlessly with your monthly bookkeeping. This means payroll entries are properly recorded in your financial statements each month, and any payroll discrepancies are caught and resolved as part of the reconciliation process.
How long does payroll setup take?
Most payroll setups are completed efficiently once we receive the necessary employee information, pay schedules, tax details, and access to your current payroll system (if applicable). Timelines vary based on your existing setup and number of employees.
What information do you need to start payroll?
To get started with payroll, we typically need employee names and addresses, Social Security numbers, pay rates and schedules, federal and state tax withholding elections (W-4), and access to your existing payroll system if you have one.
Does Venti Accounting handle year-end W-2s and 1099s?
Yes. W-2s are prepared for payroll clients as part of year-end processing. 1099 preparation is available as an add-on across all packages.
Strategic Advisory
What is "strategic advising" at Venti Accounting?
Strategic advising is ongoing financial guidance based on your actual business data, the same financials we prepare for you each month. Rather than just reporting the numbers, we help you interpret them and make smarter decisions around growth, cash flow, profitability, hiring, and equipment purchases.
What topics do advisory meetings cover?
Advisory sessions are tailored to each client, but commonly cover budgeting, cash flow management, tax planning, business goal setting, and financial benchmarking. We act as a sounding board for major decisions, like whether you can afford to hire another employee or purchase new equipment.
Can I get advisory services without also having bookkeeping?
No. Advisory is only available to Full Service bookkeeping clients. We believe it would be irresponsible to provide financial guidance without first verifying that the underlying financial data is accurate and complete. Our advisory is grounded in real, up-to-date numbers.
Are advisory meetings included in all packages?
Regular advisory meetings, quarterly strategy meetings and a year-end tax planning meeting, are included in the Full Service package. Core and Essentials clients receive monthly check-ins and mid-year tax projections but not formal quarterly advisory sessions.
Is advisory a good fit for small businesses?
Absolutely. Small business owners often make major financial decisions without the data or outside perspective to fully evaluate them. Venti Accounting's advisory services are specifically designed to give small business owners the financial clarity and strategic guidance that larger companies take for granted, at a fraction of the cost of a full-time CFO.
Pricing & Packages
How much does Venti Accounting charge per month?
Monthly services start at $650/month. Package ranges are: Core at $755–$1,250/month (monthly accounting and tax support); Essentials at $770–$1,290/month (Core plus payroll); and Full Service at $1,770–$7,030/month (Essentials plus quarterly strategy meetings and priority scheduling). Final pricing depends on your business complexity, transaction volume, and selected services.
How does Venti Accounting determine my monthly fee?
Pricing is based on two factors: business complexity (number of entities, bank accounts, locations, sales tax filings) and monthly transaction volume (how many bank and credit card transactions we reconcile). More complexity and activity means more time required, and a higher monthly fee. We provide a custom quote after our discovery process.
Does Venti Accounting charge by the hour?
No. Venti Accounting uses flat monthly pricing with no hourly billing or surprise invoices. You always know exactly what you're paying.
Is there an onboarding or setup fee?
Yes. There is a $500 fee for the initial strategy meeting, held after your books are brought current. This meeting aligns your accounting with your broader business goals.
Do you charge for catch-up bookkeeping if I'm behind?
Yes. If your books are behind, we calculate a catch-up fee based on the number of months that need to be updated before we can begin regular monthly service.
What's included in each package?
Core includes monthly bookkeeping, business tax preparation, QuickBooks support, monthly financial statements, mid-year tax projection, and a monthly check-in. Essentials includes everything in Core, plus payroll processing and payroll compliance support. Full Service includes everything in Essentials, plus quarterly strategy meetings, additional financial reports, a year-end tax planning meeting, and priority scheduling with your accountant. A 1099 filing add-on is available with all packages.
